  • Your name

  • Your email address

  • Your phone number

  • Any details you include in your message, such as your location or project

Information collected automatically

With your consent, we use Google Analytics to understand how people use our website. This collects information such as pages viewed, time spent on the site, device and browser type, and your approximate location. It does not tell us who you are. See our Cookies Policy for details.

We do not run a newsletter, and we do not collect any other personal information through the website.

3. Why we use your information, and our legal basis

Replying to your enquiry and talking about your project. We do this so we can respond to what you asked. Our legal basis is legitimate interests (running our business and answering people who contact us). Where your enquiry leads to a quote or contract, we also rely on taking steps at your request before entering a contract.

Keeping records of enquiries and client work. We do this to manage our projects, meet legal and tax duties, and deal with any disputes. Our legal basis is legal obligation and legitimate interests.

Measuring and improving our website using Google Analytics. We do this to see what works and what does not. Our legal basis is consent.

You can withdraw your consent to analytics at any time (see section 7).

4. Who we share your information with

We do not sell your information. We share it only with the services we need to run the website and our business:

  • Framer, which hosts our website and processes form submissions on our behalf.

  • Our email and business software providers, which store and deliver the messages and records we receive. [List any other tools that receive form data, for example a CRM or email provider.]

  • Google, which provides Google Analytics (only if you accept analytics cookies).

  • Professional advisers, such as accountants or lawyers, where needed.

  • Authorities, where the law requires it.

These providers act on our instructions or under their own privacy terms, and are required to protect your information.

5. International transfers

Some of our providers, including Framer and Google, may process information outside the UK, including in the United States. Where this happens, we rely on safeguards recognised under UK data protection law, such as the UK Extension to the EU-US Data Privacy Framework (the "UK-US data bridge") or approved standard contractual clauses.

6. How long we keep your information

Enquiries that do not lead to a project: [12 months] after our last contact, then deleted.

  • Client records, quotes and contracts: [6 years] after the project ends, to meet tax and legal requirements.

  • Google Analytics data: [14 months], then deleted automatically.

7. Your rights

Under UK data protection law you have the right to:

  • Ask for a copy of the personal information we hold about you

  • Ask us to correct anything that is wrong

  • Ask us to delete your information

  • Ask us to restrict how we use it

  • Object to us using it for our legitimate interests

  • Ask for your information in a portable format

  • Withdraw your consent at any time, where we rely on it

To use any of these rights, email us at office@hglandscapes.co.uk. We will reply within one month. You can withdraw consent to analytics cookies at any time using the cookie settings link in the footer of our website, or by clearing your cookies in your browser.

8. Keeping your information safe

We use reasonable technical and organisational measures to protect your information, including secure hosting, access controls and encrypted connections (HTTPS). No system is completely secure, but we take care to limit who can see your information and to keep it only as long as we need it.
